CRM Integration Services

Connect your CRM to accounting, your website, email, phone, payments and everything else, so nobody types anything twice.

Reporting updated automaticallyJust now

If your team types the same customer into the CRM, then your accounting software, then the SMS tool, this page is for you. Superstack offers CRM integration services NZ businesses use to make the CRM the single source of truth, connected to accounting, website, email, phone, payments and marketing, with two-way sync rules and monitoring behind it.

The problem

typing the same customer everywhere

  • Every new customer gets typed into the CRM, then again into your accounting software, and the two never quite match.
  • Website enquiries arrive as emails. Some get logged in the CRM. Most get answered and forgotten.
  • Calls and texts happen on personal mobiles, so the record shows nothing between the quote and the complaint.
  • The same customer exists three times, in the CRM, in accounting and in the email tool, each slightly different.
  • A simple report on sales by customer means exporting from four systems and a Sunday in a spreadsheet.

What Superstack builds

CRM integration services that end the retyping

We treat the CRM as the source of truth and wire every other system to it. For each connection we agree what stops being rekeyed and what starts happening on its own. Then we build the sync with conflict rules and monitoring, so a broken link never goes unnoticed.

Example workflow

A visitor submits the quote form and the CRM has the lead before the confirmation page loads. The salesperson works the deal as normal. When they mark it won, the CRM creates the contact in your accounting software and raises the draft invoice. Your accounting software sends the invoice status back. When the payment lands, the CRM sends a thank-you SMS through Twilio and the reports update themselves. The only typing in the chain is the customer filling in the form.

  1. 1
    Form submitted
  2. 2
    Lead created in the CRM
  3. 3
Won: contact created in your accounting software
  4. 4
Invoice status flows back to the CRM
  5. 5
    Payment triggers a thank-you SMS

Integrations

Your accounting software take customers and invoices and return payment status. Stripe and GoCardless confirm payments. Google Workspace and Microsoft 365 sync email, contacts and calendars. Twilio logs calls and texts. Shopify and WooCommerce send orders in. Mailchimp keeps lists current. HubSpot and Salesforce sync both ways. Anything with an API is fair game.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional, and most integrations are plain rules that need none. It earns a place where the incoming data is unstructured, such as emails and calls. See how we use AI and how it fits into business process automation.

Web app, mobile app and customer portal

Web app

Your existing CRM stays the screen the office works in. The integration layer sits behind it: a sync dashboard of what moved today, a review list for conflicts, and settings for who owns which field. Managers see one record with everything on it.

Mobile app

Staff feel the integrations most on the phone: a call from a known number shows the customer's balance and open jobs before they answer, and a card payment taken on site marks the invoice paid in your accounting software before they drive off.

Customer portal

Because the CRM is the source of truth, a customer portal shows live invoices from your accounting software, order status and the request they emailed, all from one database shared with the office and field apps. Customers stop ringing to ask what they owe.

Build options

FAQ

Any CRM with an API: HubSpot, Salesforce, Zoho, Pipedrive, Monday and the CRMs we build ourselves. CRM API integration follows the same pattern whichever product it is. If your CRM is older or home-grown, we look at what it exposes before quoting, and if it has no API at all, we talk about whether the CRM itself is the thing to replace.

Yes, where it should be. Contact details flow both ways between the CRM and your accounting software, so a phone number changed in either place updates the other. Some data is deliberately one-way: invoices go from the CRM to your accounting software and payment status comes back. We agree the direction and owner for every field, and conflict rules handle the rare case where both change at once.

We find out before you do. Platforms announce API changes well ahead, and our monitoring flags any call that starts failing. Keeping the connector current is part of the support agreement, so your accounting software version change means we update the sync and test it, not that your invoices stop flowing. If a platform retires a feature, we tell you what it affects and the options.

No, not from our side. The limits that exist come from the other platform: Your accounting software caps how many API calls an app makes per minute, so we batch changes and queue anything over the limit rather than lose it. For a very large list, we schedule the heavy syncs overnight and keep the urgent ones, like a new lead, immediate.

As a fixed price per connection once we have mapped it. The price depends on how many systems are involved, whether the sync is one-way or two-way, and how much custom logic is involved. After a mapping session we list each connection with its price and the retyping it removes, so you choose the order. Hosting and monitoring are a small ongoing cost, stated up front.

Yes. Keeping the CRM you have is often the right call, and we treat it as the hub, just as we would our own. We connect HubSpot or Zoho to your accounting software, your website, phone and payments, with the same two-way rules and monitoring, and we use the automation those platforms include. If the subscription cost is the real problem, replacing the CRM is a separate conversation.
