Quote Management Software

Create, send, follow up and win quotes, with price lists, online acceptance and a straight line from quote to job to invoice.

Deposit invoice in your accounting softwareJust now

Superstack builds quote management software NZ trades, service and project businesses use to win more of the work they price. Quotes come from your price list, go out as a link, chase themselves until the customer answers, and turn into a job and a accounting invoice the moment someone accepts. Nobody retypes a line item.

The problem

quoting from the last Word file

  • Every quote starts as last month's Word document with the name changed. Sometimes the old customer's name is still on page two.
  • Follow-up depends on someone remembering. We send the quote, get busy, and learn later that they went elsewhere.
  • Two staff quote the same job and come back with different prices, because the rates live in their heads.
  • I have no idea what our conversion rate is. We send a lot of quotes and win some.
  • Acceptance arrives as a reply email that gets lost, then someone retypes the whole job into your accounting software.

What Superstack builds

quote management software that chases the work

We build a custom quoting system around how your business prices work: your items, your margins, your terms, your follow-up rhythm and the job and invoice that come next. Each module below is one step in that line, from enquiry to deposit.

Example workflow

The enquiry comes in and the salesperson books the site visit. On site, they build the quote from the price list on a tablet and send it as a link before leaving the driveway. The follow-ups run on their own on the days you set. The customer accepts online that evening. The system creates the job, raises the deposit invoice in your accounting software and notifies the scheduler. People priced and talked. Software did the rest.

Integrations

Your accounting software receives customers and invoices and returns payment status. Stripe takes the deposit by card from the acceptance page. Twilio sends SMS follow-ups. Google Workspace and Microsoft 365 handle email and site visit calendars. Your CRM feeds the enquiry in, and your job management system picks the job up on acceptance.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. The quoting system wins work without it, and we add it only where it shortens the path from site visit to sent quote. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

Estimators, sales staff and managers build and send quotes in the web app, maintain the price list, set follow-up schedules and read the conversion reports. A quote below the minimum margin waits for a manager.

Mobile app

Quoting software for trades has to work on site. The mobile app builds a quote from the price list on a phone, attaches photos and sends the link from the driveway. It also shows which quotes are still open.

Customer portal

Customers open the quote link to read it, compare options, accept, sign and pay a deposit, then see job status and invoices. All three run on one database, so the quote the customer signed is the job the crew sees.

FAQ

Your accounting software quotes suit a simple list of lines. They do not hold a price list with margins, offer options, chase the customer on a schedule, capture a signature or turn into a scheduled job. Our quoting system does all of that and still invoices through your accounting software. If your quotes are short and rarely chased, stay with your accounting software. If winning quotes is how the business grows, this is the better tool.

Yes. The quote goes out as a link. The customer reads it on any device, picks an option, types their name and signs on the screen. The system stamps the acceptance with the date, time and quote version, emails a signed PDF to both sides and marks the quote won. You can require a card deposit through Stripe at the same step.

Yes. The price list is yours to edit: materials, labour rates, standard items and bundles, each with a cost and a sell price. Change a rate once and every new quote uses it, while old quotes keep the price they were sent with. Every quote shows its margin as it is built, and a floor per category means a quote under it waits for a manager.

Yes. A quote can carry several options side by side, such as a basic, standard and premium version of the same job, or optional extras the customer ticks on or off. When they accept, the option they picked becomes the job and the invoice, and the others stay on the quote record. Landscapers and sign makers use this to show trade-offs without three separate quotes.

You set the schedule once. The system watches each sent quote and sends the next message on the day you chose, by email or SMS, under the salesperson's name. Every send and open is logged on the quote. The moment the customer accepts, declines or replies, the sequence stops and the salesperson gets a task to call instead.

Yes. Because every quote is built from the price list with cost and sell, margin is known when it is sent and again when the job closes. Reports show conversion by salesperson, quote type, size and month, and where quotes are lost. Comparing quoted margin with actual margin shows which types of work you price too low.
