Job Management Software

Customers, jobs, schedules, documents, staff and evidence, job management built around your steps, not a generic template's.

Profit reportJust now

Superstack builds job management software NZ trades and service businesses run their day on: the customer, the site, the job and its stages, who is doing it, what they found and what it cost. It replaces the diary, the whiteboard and the group chat with one system that invoices when the job finishes and shows whether it made money.

The problem

the job lives in three places

  • Jobs live in the diary, the whiteboard and a group chat. When the whiteboard gets wiped, so does next week.
  • The office knows one thing and the field knows another. Gate codes, extra work and photos go missing in between.
  • Invoicing runs days behind the work, because the details are on a docket in the van until Friday.
  • We know we were busy. We don't know which jobs made money and which ones ate the margin.
  • The off-the-shelf tool has its own steps and its own checklist. Ours are different, so half the team stopped using it.

What Superstack builds

job management software with your stages in it

Most job tools assume one standard trade job: quote, do, invoice. Yours has its own stages, its own checks and its own costs, so we build custom job management software around them. Every module below uses your names for things.

Example workflow

The enquiry becomes a quote, and the accepted quote becomes the job with no retyping. The dispatcher drops it on the calendar. On site, the technician follows the job's checklist in the field app, takes the photos it asks for and captures the signature. Marking the job complete builds the draft invoice. The office gives it a glance and sends it, your accounting software records it, and the profit report updates once the last supplier bill arrives.

Integrations

Your accounting software receives customers, invoices and supplier bills and returns payment status. Stripe and GoCardless take card and direct debit payments. Google Maps gives travel times and directions. Twilio sends the arrival window by SMS. PayHero takes hours logged on jobs for payroll. Your CRM passes in won enquiries and your inventory system supplies parts and prices.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. The job system runs the business without it, and we add it only where it takes a chore off the office or the crew. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

The office runs the web app: the job board by stage, the schedule, quoting, invoicing and the costing reports. Dispatchers, admin staff and the owner each get a view that fits their job.

Mobile app

Technicians and crews live in the mobile app: today's jobs in order, directions, site notes, the checklist, photos, signatures and time on the job. It works offline in a basement and syncs when the signal returns.

Customer portal

Customers log in to approve a quote, see when the crew is due, read the service report with photos and pay the invoice. All three share one database, so the technician's lunchtime photo is on the customer's screen that afternoon.

FAQ

Those are good products for a standard trade job, and if your process matches theirs, use one. The difference shows when it does not: your stages are different, your evidence rules are stricter, your costing needs subcontractor invoices matched to jobs, or you run two kinds of work in one business. We build the system around your process instead of asking your team to adopt someone else's.

Yes. Customers, sites, jobs, notes, photos and invoices come out of your current tool or spreadsheets. We match old statuses to your new stages and load a trial copy so your office can poke holes in it. When it holds up, the real migration runs on a quiet day and the field app switches over. Open jobs carry on where they were.

Yes. The field app is where technicians and crews spend their day: the job list in order, directions, site access notes, the checklist for that job type, photo capture, signatures, parts used and time on the job. It works offline and syncs later. Subcontractors get the same app with a narrower view, so they see their job and nothing about your margins.

Yes. Completing a job builds the invoice from its quoted items, variations, time and materials. The office checks it and it goes to your accounting software as a draft or an approved invoice, with the customer created or matched. Payments recorded in your accounting software show on the job, and supplier bills coded to a job come back for costing. MYOB works the same way.

Yes. A contract holds the customer, the sites, the agreed price and the frequency, and it generates the jobs on schedule: a fortnightly clean, a quarterly pest treatment, an annual service. Each generated job carries the site's checklist and instructions. Contract invoicing can run monthly in one batch, and a visit outside the contract becomes a normal billable job.

A subscription charges per user every month, so a growing crew and every add-on push the bill up. The job tracking software NZ businesses get from us is mostly an upfront build, plus hosting and support, and adding a technician costs nothing. Which is cheaper depends on team size and how far the standard product is from your process. We put both numbers side by side in the first conversation.
