Timesheet Software

Timesheets, approvals and payment records, captured on site, approved by managers and exported clean to payroll and job costing.

Job cost updatedJust now

Superstack builds timesheet software NZ employers use to get hours off paper and into payroll without a day of checking. Staff clock in on their phones, the hours land on the right job with breaks applied, a manager approves them, and the export goes straight into your payroll system. The result is a clean payroll and a true job cost.

The problem

Friday's timesheets, Monday's payroll

  • Timesheets turn up on Friday afternoon as a photo of a crumpled sheet or a text that says 'same as last week'.
  • A staff member says they started at seven. The supervisor says half past. Nobody has anything to settle it.
  • Payroll takes the office a full day of checking and chasing, and there is still a correction the following week.
  • Hours go against the person, never the job, so we guess which contracts are making money.
  • Contractors invoice us for hours we have no way of checking, and we pay them anyway.

What Superstack builds

timesheet software that payroll can trust

Every module here removes a payroll query or improves the job cost. We build a custom timesheet app around your sites, your rules and your payroll system, so the hours are right when they leave the field and nobody re-keys them.

Example workflow

A security guard clocks in on their phone at the start of the shift and picks the site. At the end they clock out. The system works out the hours, deducts the unpaid break and flags the extra hour past the roster. On Monday the manager sees the week, approves the clean shifts in bulk and queries the one that ran long. The guard confirms the reason. Approved hours export to payroll in one file, and the site's labour cost updates the same morning.

Integrations

PayHero, Smartly, iPayroll and your accounting software Payroll each receive approved hours with the right pay codes, and MYOB takes the same export. Google Maps checks clock-in locations against site addresses. Your rostering system supplies who should be where, so the timesheet compares planned with actual, and your job management system takes the labour hours for costing.

Add AI when it actually makes sense

AI is optional. Timesheets, approvals and payroll export all run without it, and we add it only where it cuts the checking. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

Payroll and office staff run the week in the web app: the approval queue, rule settings, the payroll export, job cost reports and the audit log. Managers with several teams see every site at once.

Mobile app

The mobile app is the job timesheet app NZ crews use all day: clock in, pick the job, take a break, clock out, see this week's hours and raise a query. Supervisors approve from the same phone on site.

Contractor portal

Contractors log hours in the portal, see what was approved and what was queried, and download their payment record. All three share one database, so the hour a contractor logged is the hour the job cost shows.

FAQ

PayHero, Smartly, iPayroll and your accounting software Payroll are the ones we connect most, and MYOB works the same way. The export carries each person's hours by pay code, ordinary, overtime, allowances and leave, in the layout that system imports. If you run something else, we build the export to its specification. You keep your payroll system, the timesheets just stop being typed into it.

The app records a single location stamp at clock-in and clock-out, and nothing in between. It does not track staff during the shift or outside work hours. You decide whether to use GPS at all or a QR scan at the site instead, and staff can see their own stamps. We help you write the policy wording so the team knows exactly what is recorded.

Yes. We configure the rules to your employment agreements: paid rest breaks, unpaid meal breaks after a set number of hours, overtime past a daily or weekly threshold, public holiday treatment and allowances such as night or split shifts. The system applies them to every timesheet the same way. Your payroll system still calculates the pay, the timesheet gives it clean inputs.

Yes. Contractors log hours in the same app against the same jobs. The difference is what happens after approval: staff hours go to payroll, contractor hours become an approved statement the contractor invoices against, or a buyer-created invoice you raise for them. Labour hire firms use it in reverse, with the client approving the placed worker's hours before the firm invoices.

Yes. The system logs every change: who made it, when, the old value, the new value and the reason given. A manager rounding a clock-out or a staff member correcting a missed break both leave a trail. Original clock stamps are never overwritten, so a dispute about hours is settled from the record, not by whoever remembers loudest.

Yes. The app stores clock-ins, job changes and breaks on the phone when there is no signal, with the time and location stamped, and syncs when the connection returns. A crew in a basement car park works as normal. If a phone is flat, a supervisor can clock someone in from theirs, and that entry is marked as done on their behalf.
