Staff Rostering Software

Shifts, availability and staffing, a roster your team sees on their phones, with rules, costs and timesheets built in.

Payroll exportJust now

Superstack builds staff rostering software NZ employers turn to when the off-the-shelf tools stop short: several sites, break and hours rules from a collective agreement, and a payroll that needs clean hours every fortnight. Your managers build the roster from a template, your staff see it on their phones, and payroll imports it without a fix-up.

The problem

the rules are in someone's head

  • The roster is an Excel sheet I screenshot into the WhatsApp group on Sunday night. Then the questions start.
  • Someone calls in sick at six and the duty manager rings down the list until somebody says yes.
  • We find out about overtime when payroll runs, after the hours are worked and the money is spent.
  • Availability arrives by text to whoever is on. It never reaches the sheet, so we roster people for days they can't do.
  • Breaks, gaps between shifts and weekly hour limits get checked by eye, by one person, on a Friday afternoon.

What Superstack builds

staff rostering software with your rules in it

Custom rostering software starts from your rules: the sites, the roles, the agreement clauses and the payroll codes. We build the modules below around those, so the roster checks itself before publishing and the hours reach payroll in the right shape.

Example workflow

The manager applies next week's template and the system checks it against availability, leave and your hours rules before anyone sees it. Publishing sends the shifts out and collects confirmations. When someone requests a swap, the system finds who is qualified and free, and the manager decides. Clock-ons feed the timesheet, variances wait for a supervisor, and approved hours go to payroll in the file your system expects. Nothing gets retyped between the roster and the payslip.

Integrations

Approved hours, allowances and leave go to PayHero, Smartly, iPayroll or another NZ payroll in its own import format, and leave balances come back. Your accounting software receives labour cost by site. Google Workspace and Microsoft 365 put published shifts on staff calendars. Twilio sends the SMS for open shifts and roster changes.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional on every roster we build. The value here comes from rules and a clean payroll export, so we add AI only where a manager is otherwise doing the thinking by hand. See how we use AI and where it sits in business process automation.

Web app, mobile app and customer portal

Web app

Managers and payroll staff build rosters, set the rules, watch the cost forecast and clear approvals in the web app. Head office sees every site on one screen, and payroll runs the export from here.

Mobile app

Staff live in the shift roster app: their week, confirmations, availability, leave requests, open shifts, swaps and clock-on at the site. A push notification tells them the moment a roster is published or changed.

Staff portal

Staff without the app use the same functions in a browser, and a shared tablet at the site door works as a clock-on kiosk. All three share one database, so a swap approved on a phone appears on the manager's grid and in the timesheet.

FAQ

Deputy and Tanda are capable staff scheduling software, and for a business with standard shifts and one payroll setup they work well. Custom staff rostering software earns its place when the rules are yours: collective agreement clauses, several sites with different budgets, sleepover or split shifts, or a payroll import that keeps failing. You also own the system instead of paying per user for every casual you add.

PayHero, Smartly and iPayroll are the ones we connect most often, along with your accounting software Payroll and MYOB. Each has its own import format, so we map your shifts, allowances and leave types to the codes your payroll expects and test the file against a real pay run before go-live. A payroll we have not met gets an export built to its specification.

Yes. Rules are the reason this page exists. We encode your meal and rest breaks, minimum gaps between shifts, maximum daily and weekly hours, sleepover clauses and anything else in your agreement or policy. Each rule is a hard stop or a warning, your choice. A breach shows on the shift itself while the manager is building, and overriding a warning requires a reason that goes in the log.

Yes. Most roster software for small business NZ owners try assumes one site and one manager. Here, every shift belongs to a site and a department, each with its own budget, rules and approvers. A site manager edits only their site. Head office sees all of them and the combined cost. Hours for staff who work across sites are counted once, so three managers cannot roster one person past their weekly limit.

Yes. You publish a shift as open and choose who sees it: everyone qualified for the role, a named pool, or casuals only after permanent staff have had first refusal. Casuals get the notification and tap to claim. The shift is theirs instantly or once a manager approves, depending on the rule for that site, and the hours flow to the timesheet and payroll like any other shift.

Yes. Staff get a mobile app for iPhone and Android: shifts, confirmations, availability, leave, open shifts, swaps and clock-on. It reads the same database as the manager's web app, so nothing is out of date. If you already have a staff app, we add rostering to it instead. See staff app development for what else it can carry.
