Staff Portal Development

Company information, tasks, forms and resources in one place your team can reach from any device.

Payroll notifiedJust now

Superstack builds the employee portal NZ and Australian businesses need when the roster, the policies and the leave form live in different places. Our staff portal development starts with what your team looks for every week, then builds the web home that answers it.

The problem

it's on the shared drive somewhere

  • Our policies sit on a shared drive, folders inside folders. New staff give up and ask whoever is nearest.
  • HR answers the same questions by email every week: leave balances, the expense form, who to call.
  • Leave requests arrive by text, by email and in passing. Some never reach payroll.
  • Onboarding information is scattered across ten places, so a new starter learns from whoever is rostered on.
  • We send announcements and hope. When something goes wrong, nobody can prove anyone read it.

What Superstack builds

staff portal development built on findability

A staff intranet only works if finding something beats asking a colleague. We start with the questions your team asks most, then build the modules that answer them, with a record of who read what and search that works.

Example workflow

HR creates the account from the offer letter, so the first login shows the induction. The portal tracks each module as the new starter finishes it and records every policy acknowledgement with a timestamp. A leave request reaches the manager with the balance, and the manager decides. Once approved, the portal sends the dates to payroll and updates the roster. Nobody forwards an email.

  1. 1
    New starter logs in
  2. 2
    Completes induction modules
  3. 3
    Acknowledges policies
  4. 4
    Submits leave request
  5. 5
    Manager approves
  6. 6
    Payroll notified

Integrations

Google Workspace or Microsoft 365 handles sign-on, so staff accounts come from your existing directory. PayHero and other NZ payroll systems receive approved leave and timesheet hours. Your accounting software picks up approved expense claims. Your rostering and timesheet tools feed the roster view.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. The portal works without it, and we add it only where it saves staff time. See how we use AI and where it belongs in business process automation.

Web app, mobile app and customer portal

Web app

HR and managers run the portal from a browser: publishing policies, posting announcements, approving leave and expense claims, and reading the analytics. Roles limit a site manager to their own sites.

Mobile app

Staff use the mobile app, or the portal on their phone, to check the roster, submit leave, file an incident report and acknowledge a policy before the day starts.

Staff self-service portal

Every staff member gets the same web home: search, the policy library, their forms and training record. All three share one database, so an acknowledgement on a phone shows in the manager's report.

FAQ

Yes, it is an intranet, but that is the smaller part. A traditional intranet publishes pages. This portal also takes in leave requests, expense claims and incident reports, tracks induction progress, records policy acknowledgements and connects to payroll. It is an HR portal for staff with the intranet content built in.

SharePoint is a document platform you configure. This is built around what your staff do. SharePoint stores files well, but leave requests, acknowledgement tracking, induction progress and payroll links take add-ons or workarounds. Ours has them built in. Staff still sign in with Microsoft 365, and it links to files in SharePoint.

Yes. The portal is built for the phone first, because most staff open it between jobs. Rosters, forms, policies and announcements work on a small screen, and a form saves the moment it is sent. If your team wants push notifications and offline access, the staff app shares the same database.

Yes. Single sign-on with Microsoft 365 or Google Workspace is standard. Staff use the account they have, and the groups you manage there set their role. Disabling a leaver's Microsoft or Google account closes their portal access too. Casual workers without a company account sign in with an email link.

Yes. An approved leave request goes to PayHero or your other NZ payroll system with the dates, leave type and approver, so payroll never re-enters it. Timesheets work the same way: hours confirmed in the portal reach payroll as approved hours. Every step is logged in case an employee queries a payslip.

We price the build, not the number of users. Most subscription intranets charge for every account, so a growing team means a growing bill. Superstack builds the portal once, then charges for hosting and support. A busy hiring month does not change what you pay. You get a fixed proposal up front.
