Compliance Management Software

Documents, expiry dates and compliance evidence in one system, with alerts before things lapse and reports ready when the auditor arrives.

Actions closedJust now

Superstack builds compliance management software NZ businesses use to stop being surprised by an expiry. Every requirement and certificate sits in one register with the evidence attached, alerts go out before a date lapses, and when the auditor arrives the report is ready, not a fortnight away.

The problem

surprised by an expiry

  • We find out a certificate expired when a client asks, with the crew already on site.
  • Evidence is scattered across a shared drive and several inboxes. Finding one document takes an afternoon.
  • Audit prep takes weeks of chasing paperwork, and we still get findings for things we actually did.
  • Nobody knows which contractors are current. Their insurance is in an email from last year.
  • We issue policies, but nobody signs anything, so we cannot show that staff read them.

What Superstack builds

compliance management software with evidence attached

We do not promise a pass. We build compliance register software that makes evidence findable, tracks every expiry and raises the alert early enough to act. Your adviser decides what the standard requires. The system proves what you did.

Example workflow

Someone defines the requirement once, with its owner, evidence and renewal cycle. They upload the current certificate and the system takes over the calendar, alerting the owner in time and escalating if nothing moves. The owner renews and uploads the new one. At audit time the system generates the report, the team logs findings against their requirements, and each closes as an action with proof.

Integrations

Evidence stays in your document storage and the register points at it. Contractors upload insurances and inductions through their portal, updating their status. HR and payroll supply the staff list, so a new hire's requirements appear on day one. Google Workspace and Microsoft 365 carry email, and Twilio sends SMS alerts.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. Registers, expiries, alerts and reports run without it. We add it only where it saves reading paperwork. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

The compliance or operations manager runs the registers, reviews evidence, assigns corrective actions and builds audit reports in the web app. Directors see one dashboard: current, expiring, lapsed.

Mobile app

Supervisors and staff use the mobile app to run audits on site, photograph evidence, sign a policy acknowledgement and check a contractor's status at the gate.

Contractor portal

Contractors upload their own insurance, licences and inductions and see what is about to expire, so chasing them stops being your job. All three share one database, so an upload changes the status at the gate.

Build options

FAQ

Any standard that breaks down into requirements with evidence: ISO management systems, prequalification schemes, food control plans, care sector audit tools, industry accreditations and client contract obligations. We load the requirements as a register, you attach the evidence, and one document can satisfy several standards. The system tracks. Your adviser interprets.

Yes, for the record-keeping side. As health and safety compliance software NZ businesses use alongside an adviser, it tracks what you are expected to show: inductions, training, hazard registers, equipment tests and policy acknowledgements. It does not decide what the law requires or make a site safe. It keeps the evidence current and findable.

Yes. Each contractor and each of their workers carries a status built from insurances, licences, inductions and signed site rules. They upload their own documents through the contractor portal, get their own expiry alerts, and a lapsed item shows at the gate. Your team stops chasing paperwork by email and starts checking a status.

Yes. You create a read-only login scoped to the standard being audited, so the auditor sees the requirements, evidence, actions and history for that audit and nothing else. They work through it before the visit instead of asking you to print folders. The system logs every view, and access ends when the audit closes.

Yes. Evidence stays where it lives, in your drive or document management portal, and the register links to each file. Your HR system supplies the staff list and start dates, so a new hire's requirements appear on day one and a leaver drops off the register. Compliance evidence management stops being a separate filing job.

There is no per-user licence. The price follows the build option and how many registers, sites and contractors you have. Superstack Start customises an existing compliance module. Superstack Custom adds a contractor portal, inspections or HR feed. Superstack Build is fully bespoke. Hosting and support are ongoing, and you get a clear proposal after scoping.
