Document Management Portal

Secure business documents with versions, permissions, search and expiry reminders, the current version, every time.

Old version archivedJust now

Superstack builds a document management portal NZ businesses use to control their documents, not just store them. Contracts, policies, drawings, certificates and client files live in one library with a current version, the right permissions, a search that works and a reminder before anything expires. Drives store files. This controls them.

The problem

the file is somewhere

  • Documents are spread across the shared drive, inboxes and desktops. The signed lease is on someone's laptop.
  • A crew worked from the old drawing for a week. Both files were called FINAL.
  • Finding the right document means asking the one person who knows, and hoping they are in.
  • We share with clients and contractors by emailing attachments, and have no idea who has them now.
  • Expired insurance certificates and old policies stay in circulation, and every audit is a week of panic.

What Superstack builds

your document management portal

A shared drive is a place to put files. Document control software decides which version is current, who can open it and when it needs review. We build the portal around the way your business files things.

Example workflow

An administrator uploads the new public liability certificate and tags it with the type and expiry date. The compliance manager reviews it, the one human check, and publishes. The client's portal now shows the current certificate, and the link the client had still works. Before it expires, the owner gets a reminder. The revised certificate goes up, and the old one moves to the archive, history intact.

Integrations

Google Drive, Microsoft 365 and SharePoint stay where they are: the portal indexes their files and applies versions and permissions. E-signature providers return signed documents to the library. Your accounting software supplies invoices to file against clients. Your CRM and portals show each client or contractor their own documents.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. The portal works without it, and we add it only where it saves filing time. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

Office staff, managers and compliance owners work in the web app: filing, reviewing, approving, searching and running the expiry dashboard. Administrators set document types and permissions without a developer.

Mobile app

Staff on site open the current drawing, induction or safety plan on their phone, photograph a signed form and file it against the job, and sign a document where they stand.

Client and contractor portal

Clients and contractors log in to a business document portal showing only what is theirs: agreements, certificates and drawings. All three share one database, so they always see the version you published.

FAQ

Drives store files and leave the rest to people: which copy is current, who should see it, when it needs renewing. SharePoint can be configured to do more, but most businesses never get there. This portal is built around your document types and rules, so control is the default, not a project.

The limits are the ones you set. The portal runs on cloud storage sized to your library and grows as you add to it, with no per-user cap and room for large drawing sets, photos and video. Old versions and archived documents stay available rather than being purged to save space.

Secure document storage for business starts with where the data lives: encrypted in transit and at rest, hosted in a New Zealand or Australian cloud region. Access is by named user with multi-factor login, and permissions follow roles and document types. Every open, download and share is logged. Shared links carry an expiry date.

Yes. Each client or contractor gets a login to a portal that shows only the documents tied to them: their agreement, the drawings for their project, the certificates you need from them. They can upload, sign and download, and you see when they did. Access ends the day the engagement does.

Yes. Every upload passes through OCR, so a scanned lease or a photographed delivery docket becomes searchable text. Type a clause, a supplier name or a site address and the results include documents where those words appear inside the scan. Handwriting is less reliable, so tagged fields matter for those.

Yes. We take your shared drive or file server as it is. We map folder paths to document types, pull what metadata we can from names and dates, flag likely duplicates and load a trial copy for your team to check. The final migration runs once, and the old location becomes read-only.
