Management Dashboard Development

Business KPIs and operational visibility in one live dashboard, pulled from your accounting software, your CRM, jobs and timesheets, with alerts when something slips.

Action takenJust now

This is management dashboard development NZ owners and general managers use to see how the business is doing today, not at month end. Superstack connects your accounting software, your CRM, job and timesheet systems, agrees the numbers that matter with you, and puts them on one live business dashboard that alerts you when something slips.

The problem

finding out at month end

  • The monthly report lands weeks into the following month, and by then the problem has already cost us.
  • Our numbers live in five systems: the CRM, the timesheet app, your accounting software, the job system and a spreadsheet, and no two agree.
  • The owner asks how we are doing and gets a shrug, a guess or a promise of something by Friday.
  • We find out a crew ran at a loss when the accountant closes the month, not the day it started.
  • Our KPIs live in a spreadsheet that one person updates by hand, and when she is on leave the numbers stop.

What Superstack builds

management dashboard development for early warning

A dashboard is only useful if you trust it and it warns you in time. So we start with the numbers, not the charts: which ones matter, where each comes from, and what counts as a problem. Then we build the screen, alerts and reports around those definitions.

Example workflow

Every hour the connectors pull fresh figures from your accounting software, the CRM, the job system and the timesheets, and the KPIs recalculate against the workshop definitions. The dashboard updates without anyone touching it. When labour cost on a job passes your limit, the ops manager gets a text naming the job. She drills from the alert down to the crew and the day the hours blew out, then rings the site supervisor. The system watches. The person decides.

Integrations

Your accounting software supplies revenue, receivables and cash. HubSpot or your own CRM sends pipeline and won deals. PayHero provides payroll cost, your job and timesheet systems provide hours and margin per job, and Stripe reports payments taken. Anything still kept in a Google Sheet, such as a forecast, connects as well.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. A dashboard built on trusted numbers and clear thresholds works without it, so we add AI only where it saves a manager time. Read about how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

Managers and the office team use the web app at a desk or on the office screen: watching the live tiles, drilling into a problem, adjusting thresholds and building the weekly reports.

Mobile app

Owners and regional managers open the mobile app between site visits to check alerts, glance at the top tiles and drill into anything red. Push notifications carry threshold alerts, so a breach reaches the right person anywhere.

Customer portal

Share a slice with customers if it helps. A facilities company gives each client a login showing completed jobs, response times and open requests. All three share one database, so the client's view and the owner's never disagree.

FAQ

Power BI and Looker are strong tools if you have an analyst to build and maintain the data models. A Superstack dashboard is operations dashboard software for a business without an analyst: we do the KPI definitions, the connectors and the thresholds, and you get a screen your managers read rather than a tool they have to learn.

Your accounting software for finance, HubSpot or your own CRM for sales, PayHero for payroll, Stripe for payments, and your job, booking and timesheet systems for operations. Google Sheets covers anything still kept by hand. If a system has an API or an export, we connect it. During the KPI workshop we list every source and agree which system is the truth for each number.

Yes where the source allows it, and on a schedule where it does not. Your own booking, job or timesheet system pushes changes as they happen. We read your accounting software and similar accounting systems on a schedule, usually hourly. Every tile shows when its source last updated, so a manager knows how fresh it is. For early warning, hourly is nearly always fast enough.

As a build, not a per-user subscription. The cost depends on how many sources we connect, how much cleaning the data needs, and how many screens, alerts and reports you want. A Superstack Start dashboard over your accounting software and one other system sits at the low end. We scope it after the KPI workshop, and you pay for the build, then hosting and support.

You do, with our help. The KPI definition workshop puts the owner and the managers in one room. We ask what each person checks first on a Monday, what they wish they knew sooner, and what has caught them out recently. From that list we agree a short set, define each precisely, and park the rest. Fewer, trusted numbers beat a wall of charts.

Because we prove it before you rely on it. During the build we run the dashboard alongside your existing reports and reconcile every KPI to its source: revenue to your accounting software, hours to the timesheet system, pipeline to the CRM. We explain and fix every difference. After launch, each tile links back to the underlying records, and a failed sync shows as a warning rather than a stale number.
