Online Waiver System

Digital waivers signed before arrival and linked to the customer, searchable in seconds, with guardian flows for minors and re-sign on expiry.

Re-sign prompted on expiryJust now

Superstack builds the online waiver system NZ activity operators, play centres and hire businesses use to get the waiver signed on a phone before the customer arrives, linked to their booking and profile, and found in seconds. Guardians sign for minors, and expired waivers prompt a re-sign.

The problem

signed, filed, never found again

  • Our waivers live in banana boxes. The insurer asked for one from last summer and it took an afternoon.
  • Half the kids' forms lack a guardian signature, noticed after the kid has jumped.
  • Saturday morning is a queue of clipboards at the desk while session time ticks away.
  • The waiver has one name, the booking another, and nobody can tell who actually signed.
  • The wording changed last year, but the old version is still on a clipboard somewhere.

What Superstack builds

an online waiver system that finds the form

The wording is your lawyer's job. Ours is everything around it: signed before arrival, tied to the right person and booking, always the current version, and found in seconds.

Example workflow

The booking confirmation carries the waiver link, and most customers sign that evening. The signature lands on their profile, so the door screen shows green when they scan in. The copy is stored, and when it expires the next booking triggers a re-sign. Staff step in only for an amber screen or a missing guardian.

Integrations

Your booking system triggers the waiver link on confirmation and shows its status. QR check-in reads that status at the door. Your CRM and member or customer portal share the profile, so customers see their own waivers. Twilio sends the SMS links and reminders.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional here. We add it only where it saves the desk a check by eye. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

Managers build and version waivers, search signed copies, run the expiry list and set who sees medical answers in the web app. The front desk checks status and sends links.

Mobile app

Instructors and floor staff open the waiver app for activities to see who in the next session is signed, who is amber, and any medical note that matters before the briefing.

Customer portal

Customers sign from the link, then log in to see signed waivers, add a child or re-sign. All three share one database, so a re-sign from the couch turns the door screen green.

FAQ

That is a question for your lawyer. Electronic signatures are used across New Zealand, but whether a waiver holds up depends on its wording and how it was presented, and we do not give legal advice. What digital waiver software gives you is the evidence: who signed, when, on which device, and the wording they saw.

A birth date under your age threshold switches to the guardian flow: the adult states their relationship and signs for each child. You decide whether the guardian must be present or can sign remotely. When grandma brings the kids, the desk texts the parent and the child stays amber until it comes back.

For as long as your policy says, and no longer. Each waiver type carries a retention period you set with your lawyer or insurer. The system keeps the signed copy, version and ID photo for that period, then deletes or archives them. The rule is yours, and the system enforces it.

Yes. Kiosk mode turns any tablet into a signing station: the electronic waiver form fills the screen and the tablet resets for the next person. Leaving kiosk mode takes a staff PIN, and the customer cannot see anyone else's answers. One tablet covers walk-ins, with everyone else signing from the link.

Yes. A confirmed booking sends the waiver link, and the booking shows its status: signed, pending or expired. If we built your booking system, it is already wired in. If you use another, we connect through its API or a confirmation email hook, so the link goes out and the status comes back.

Yes. An online liability waiver can cover a list of activities, and a customer who signed it is green for all of them. Where one activity carries extra conditions, say the high ropes, you add a section that only appears when that activity is booked, and existing signers add only that part.
