Franchise Portal Development

A central platform connecting head office and every franchisee, leads, assets, training, KPIs, royalties and compliance.

Compliance check loggedJust now

For franchisors running a growing network, Superstack offers franchise portal development NZ head offices and franchisees share. Head office sees every territory's leads, sales, royalties and compliance. Franchisees get their leads, brand assets, training and support from one login instead of a shared drive and a monthly spreadsheet.

The problem

head office finds out last

  • Franchisees send their monthly numbers by spreadsheet, late, in a different layout each time.
  • Part of the network uses last year's logo because the new brand assets went out by email once.
  • We only find out a franchisee has stopped doing the compliance checks when a customer complains.
  • Two franchisees claim the same lead, and head office spends the week refereeing.
  • Royalties are worked out by hand from whatever numbers franchisees report, and every invoice gets argued.

What Superstack builds

franchise portal development for consistency at scale

Consistency holds when the right way is the easiest way. We build the franchise management portal around your operations manual: leads go where the territory map says, KPIs report themselves, and royalties follow the numbers recorded.

Example workflow

A website lead routes by address to the franchisee for that territory. The franchisee accepts, or it moves on and head office sees why. When they mark the job complete and report the sale, the royalty calculates itself and the compliance check is logged or flagged as missing. Head office reads the exceptions, not the whole list.

  1. 1
    Head office receives a lead
  2. 2
    Auto-routed by territory
  3. 3
    Franchisee accepts
  4. 4
    Job completed
  5. 5
    Sales reported
  6. 6
    Royalty calculated
  7. 7
    Compliance check logged

Integrations

Your accounting software connects to several organisations: royalty invoices from head office's your accounting software, sales figures from each franchisee's. Stripe and GoCardless collect royalties and fees. HubSpot passes leads in and takes outcomes back. Google Workspace and Microsoft 365 handle sign-in, and Twilio sends the lead alerts.

Any system with an API connects. Click a logo to visit them.

Add AI when it actually makes sense

AI is optional. Lead routing, royalties and KPI reports run on rules without it, and we add AI only where it saves head office time. See how we use AI and business process automation.

Web app, mobile app and customer portal

Web app

Head office runs the network from a browser: territories, asset library, royalty rules, KPI dashboards, compliance status and the support desk. Field managers see their own region.

Mobile app

Franchisees use the mobile app in the field: accept a lead in the car, complete a compliance check with photos, log a sale, read an announcement and raise a support ticket.

Franchisee portal

The franchisee portal is each owner's home: their leads, their KPIs, assets, training, royalty statements and support. All three share one database, so a sale logged in the app changes tonight's royalty figure.

FAQ

Yes. Brands sit above territories, each with its own asset library, training, royalty rules and your accounting software organisation, while head office sees the group in one view. A franchisee with territories in two brands logs in once and switches between them. Group KPIs compare brands where that makes sense and keep them apart.

Very. We write your fee schedule into the portal as rules: a percentage of gross or net sales, a flat monthly fee, a marketing levy, first-year discounts, and different rates by territory or brand. When the agreement changes, head office updates the rule from a date, and both sides see the working.

They keep it. The portal takes leads from HubSpot and pushes each one to the franchisee's CRM through its API, then pulls the outcome back: won, lost, value. Franchisees on a CRM we cannot connect to report through a short form. Their sales still feed franchise KPI reporting and the royalty calculation.

Each franchisee sees only their territory: their leads, customers, staff, numbers and statements. Access rules sit in the database, so no report or export leaks one franchisee's customers to another. Head office sees what each role allows. When a franchisee leaves, their access ends and their data stays with the network.

Head office creates the account and draws the territory, and the portal does the rest: the welcome email, induction, the asset library, the royalty start date and the accounting contact. The new owner completes training before their first lead arrives, and head office watches progress. The launch checklist becomes a status screen.

Yes. The portal works in a phone browser, and the mobile app adds push alerts for new leads, offline compliance checks and photo capture. A franchisee accepts a lead from the car, completes the site check and logs the sale before driving off. Owners who prefer a desk use the same login.
